In NEPA-ENUGU, in which the researcher based her study of the modern technology on secretarial profession, it was revealed by the respondents that modern technology has had a tremendous effect on the jobs of today’s secretary. It has contributed positively to the secretarial profession and is indeed a blessing to the secretary.
The contribution of modern technology to the development and advancement of the secretarial profession cannot be over-emphasized. Technology enhances the secretary’s job. It has gone a long way to assisting the accuracy, efficiency and forms a basis for increased productivity.
It was also gathered that technology couldn’t render the secretary redundant. Machines are just like moron. It cannot function without the help of a human being. The contributions of a secretary in an organization are many sides and range from handling routine procedure to implementing management decision. It should however be noted that not all the secretarial functions could be performed by these modern machines. Human efforts are always needed in the operation of these machines.
Although the basic abilities for secretarial works remained the same, the procedure in offices will continue to change as sophisticated equipment are introduced into the office. Consequently, the secretary will have to be trained and retained to face the challenges of this new technology. Generally, technology has given a face-lift to the secretarial profession in recent years.
CONCLUSIONS
Change is a dominant character in this world and for improvement or advancement to be made in any sphere of life, there must be the ability and interest to effect changes whenever it becomes necessary. It is also true that technological revolution especially in the working environment has changed totally the function of any staff since the 1960’s. Today there are machines that are able to gear up as well as help any staff in whatever might be his or her work in the organization.
Technology makes the secretary more effective and efficient in her job as has been proved by the Research Question of this research work. Since the world is now moving at a break-neck speed via technology, no one is able to withstand its effects. It is not possible for any organization that wished to make profit and raise the level of its productivity to stand on; sideline and watch events overtake her.
The secretary is able to effectively manager her bob as well as her boss, and is in most offices being accounted the necessary respect nad encouragement. Technology has really helped in giving the secretarial practice a face-lift from what it used to be in the 60’s and even more than it was thought to be in the 80’s. However, the secretary in this 21st Century have more challenges and opportunities opened to them than their predecessors, provided they acquire the necessary training and experience.
Though there are expressions of fear by some set of people that technology may eliminate and the secretarial staff in the future. But the dynamic and flexible secretary would not be perturbed since she will always strive to forge ahead and adapt t the trend of technology invention. The application of technology to secretarial profession as well as to other professions will produce an organization that is set to achieve and who will indeed achieve its objectives.
In conclusion, modern technology has been more of a blessing t the secretarial profession rather than a setback because of its tremendous positive effects and influence in the secretarial world. This is especially noticeable in the areas of information storage and retrieval, data processing, word processing, effective community, better and more effective office management skills etc.
RECOMMENDATIONS
Based on the findings of the study; the researcher makes the following recommendations.
It is now an establishment fact that technology makes the secretary more productive and effective. If a secretary is to surface in the 21st Century, she must be ready to adapt to the technological era.
A static and old-fashioned secretary will soon find herself out of work as new and more dynamic secretaries are emerging.
Teachers and educational institutions should endeavor to install all these sophisticated office equipments to enable the student acquire proper training on the skills before graduation an not teaching them on the theoretical aspect. This will expose them to the various types of equipment in the business world. Gone are the days of half-baked secretaries.
In addition, today’s secretary should make sure that her education does not end at the completion of her educational career. She should keep in touch with technological advancement so that she can grasp any opportunity that presents itself. She should cultivate the habit of reading journals, manuals, books, and continue to up-date her skill an knowledge.
A wise secretary should not be tied down to a job that offers no challenges or excited just because the pay is good for boredom could kill those skills she acquired in school and give her the redundant knowledge.
The organization has the duty to send secretaries on new courses or refresher’s course from time to time and organize seminars and symosiums as well. Varieties of modern office equipment should be acquired for their secretaries. So that there will be no cause for pessimism on the part of the organization as to how their secretaries will cope with technological changes and no redundancy on the part of the secretary herself, as she is ever up to the task of making abrupt changes when the need calls for it.
On the whole; the new technology exists to aid the secretary’s function, to make her more productive and efficient as well as have confidence. A clean elimination of the role of the secretary as a result of technological advancement is therefore not feasible now and also in the near future, because the secretary will always be there in the organization com “rain” come ‘shine”.
